All reservations must be guaranteed with a credit card at time of booking. Only Advance purchase rate bookings require a deposit which is non-refundable in the event of cancellation. All prices are quoted in New Zealand Dollars (NZD).
CHECK IN / CHECK OUT
Check-in is available from 3pm on the day of arrival. Check-out is 11am on the day of departure. Early check-in and/or late-checkout may be available at the discretion of the Duty Manager and may incur an additional charge.
Reservations must be cancelled by 2:00 p.m. on the day prior to the day of arrival (NZST). Cancellations after this deadline will incur a penalty charge equivalent to one night's stay. Advance booking reservations cannot be cancelled or modified once confirmed. Guests who no-show (don't arrive to check-in) will be charged one night's stay.
A valid credit card MUST be presented on check-in to the hotel for incidentals and additional charges. Payments may be made by credit card, by cash or EFTPOS. If you choose to pay by credit card, a 2% transaction fee will be added to your total bill. This fee is subject to change and applicable fees will be confirmed on check-in. Payments by Cash or EFTPOS do not incur any transaction fees.
SECURITY BOND / CREDIT CARD PRE-AUTHORISATION
A valid photo ID and credit card will be required at the time of check in, a pre-authorisation (pre-auth) will be taken and will be used to cover incidental items such as (but not limited to):
Telephone, internet charges, minibar and restaurant charges
Any breakages or damage incurred during your stay
Any excessive cleaning charges, above the normal level of cleaning, due to the room being left in an unacceptable state
Additional servicing/cleaning charges
We pre-authorise all credit cards on the day of arrival to check for validity and sufficiency of funds. Please note this process validates the presented credit card, and protects both the cardholder and merchant from increasing fraud incidents. The pre-authorised amount is set aside by the credit card company for a period of up to 10 days. The pre-authorisation will affect your available funds and/or spending limit. For more information on this practice please contact your card issuer. No money is taken from your credit card but it will show as a 'Pending Transaction' and you may choose to use a different payment type to pay your final bill.
Upon departure the bond will be refunded to your credit card. For domestic credit card holders this process may take up to 7 working days. If you’re an international card holder this may take longer depending on your financial institution.
ADVANCE PURCHASE / NON-REFUNDABLE RATES
All advance purchase rates are non-refundable and full payment will be taken at the time of booking. Full pre-payment must be received to secure your room and rate. Rates and room availability are subject to change if pre-payment is not received. Once your reservations is confirmed, it is non-refundable and non-amenable. Cancellations are permitted however you will not receive a refund. We do not give refunds for any changes, cancellations or non-arrival (no shows). At any stage, we reserve the right to cancel a reservation without notice if we become aware of or are notified of any fraud or illegal activity associated with the payment for this reservation. If the guest departs early, cancels or fails to honour the reservation for any reason, the guest will not receive any credit or refund. If you wish to extend your reservation, this will require a new reservation for the additional dates, subject to availability and subject to the rate available for those dates. The rate per night may not be the same as your original booking.

DEPOSIT / GUARANTEE REQUIREMENTS

Single rollaway beds can be provided in our One Bedroom Suites, additional charge of $55.00 per night applies.
GIFT VOUCHER TERMS AND CONDITIONS
Full payment is required in advance at the time of purchase. Credit card will be charged immediately for total value of the Gift Voucher.
Gift Vouchers are non-refundable and cannot be exchanged with cash.
Gift Vouchers must be used by the expiry date specified on the voucher. It is the responsibility of the buyer to check that the time frame of the Gift Voucher suits their requirements.
Lost Gift Vouchers are not replaceable nor refundable.
Gift Vouchers will be sent by post (or email if required) to the recipient as soon as payment is confirmed.
Bookings using a Gift Voucher are essential and are subject to availability.
Gift Vouchers must be presented at the time of usage.
Gift Vouchers cannot be used in conjunction with any other offer or concession.
Gift Vouchers can be used for part payment.
Accommodation Vouchers cannot be used over special event periods.
Bookings using Accommodation Gift Vouchers must be made at least 7 days in advance.
Requests for non-smoking rooms or specific bedding are honoured whenever possible based on availability at check-in. Due to inventory limitations, these requests cannot be guaranteed. Rates, restrictions, and information are subject to change without notice. Not all restrictions are listed. All offers are subject to program availability. Rates are listed in NZ dollars except where otherwise noted. All published rates are commissionable to travel agents at 10%.
Once your reservation has been confirmed, any applicable cancellation or no-show fees will be charged to your company/agency/credit card.
We reserve the right to cancel or amend your booking in the event of a computer, website or system error which results in the display or communication of an incorrect room rate or other incorrect details relating to your booking. We will advise you as soon as possible in the event of such an error.
TAXES AND FEES
Room rates are subject to 15% Goods & Services Tax. Settlement of your account by credit card will incur a transaction fee reflecting bank charges incurred by The Spencer on Byron Hotel for card payments. Current fees are 2% of the transaction total. Fees are subject to change and applicable fees will be confirmed on check-in. Payments by Cash or EFTPOS do not incur any transaction fees.
If the terms and conditions of your rate plan indicate prepayment is required when booking, the credit card transaction fee will be waived for the accommodation components booked online. Charges for additional items at the hotel during your stay will attract a transaction fee if payment is settled via credit card.
WHAT WE COLLECT
When you book a reservation with Castle Resorts, we ask for your name, address, email address, phone number, fax number, and credit card information. We may also ask for information related to your travel preferences so that we can provide better service and make your vacation a more memorable one. If you are making a reservation which includes a rental car, we will also ask for the information required by the rental car supplier, including the names and age of the driver(s) of the rental car. If you are making a reservation which includes airfare as part of a package, we will also ask for the names of the other travelers and their frequent flyer numbers. The packager, air, car, and other service providers are third parties that have separate privacy policies.
If your reservation is made as part of or in connection with a group, meeting, or event, we will provide your name and dates of stay to the group, meeting or event planner, or organizer.
If you elect to receive notifications from Castle Resorts during the reservation process, the information on the reservation form (excluding your credit card information) will be recorded in the database. You will have access to the database at any time to update this information. If you elect to subscribe to Castle Resorts email newsletter outside of the reservation process, only your email address is required. If you elect to receive additional communications from Castle Resorts, there is a double opt-in process and you will receive an email asking for confirmation of the subscription. Once you confirm your opt-in, we will send you an eNewsletter each month. Occasionally, Castle Resorts may also send you messages regarding discounts, specials, or additional privileges that you may be entitled to if you belong to our list of email subscribers. Because your privacy is important to us, you may request to be removed from our list of email subscribers at any time by utilizing the instructions to unsubscribe.
