Policies 

Cancellation/Non-arrival (no-show) Policies
Reservations must be cancelled by 2:00 p.m. on the day prior to the day of arrival (NZST). Cancellations after this deadline will incur a penalty charge equivalent to one night's stay. Advance booking reservations cannot be cancelled or modified once confirmed (see below). Guests who no-show (don't arrive) will be charged one night's stay.

Advance Purchase/Non-refundable rates
  • Full payment is required at the time of booking.
  • Your credit card will be charged immediately for the entire stay.
  • Full payment must be received to guarantee your rate and room availability.
  • No refunds will be given for any changes, for cancellations or non-arrivals on check-in date.
  • Charges cannot be applied to other stays or services.
  • Once confirmed, reservations may not be cancelled or amended.
  • At any stage, we reserve the right to cancel a reservation without notice if we become aware of or are notified of any fraud or illegal activity associated with the payment for this reservation.
  • If the guest departs early, cancels or fails to honour the reservation for any reason, the guest will not receive any credit or refund.
  • If you wish to extend your stay, a new reservation will be made for any additional rates. This is subject to availability and the rates that apply on those dates - you may not receive the same rate as your original reservation. 


Credit card pre-authorisation
A credit card authorisation (pre-auth) will be asked for at the time you make your reservation and will be used to cover incidental items such as (but not limited to):
  • Telephone, internet charges, minibar and restaurant charges
  • Any breakages or damage incurred during your stay
  • Any excessive cleaning charges, above the normal level of cleaning, due to the room being left in an unacceptable state.
  • Additional servicing/cleaning charges

We pre-authorise all credit cards on the day of arrival to check for validity and sufficiency of funds. Please note this process validates the presented credit card, and protects both the cardholder and merchant from increasing fraud incidents. We may pre-authorise a credit card for any charges we determine that the guest may be likely to consume during their stay. This may also include an amount to cover a security bond / deposit for damages. The pre-authorised amount is set aside by the credit card company for a period of up to 10-days. The pre-authorisation will affect your available funds and / or spending limit. For more information on this practice we suggest the cardholder contact their card issuer. No money is taken from your credit card but it will show as a 'Pending Transaction' and you may choose to use a different payment type to pay your final bill.

Currency
All prices are in New Zealand Dollars (NZD).

Deposit/Guarantee Requirements
All reservations must be guaranteed with a credit card at time of booking. A deposit is not required, except for Advance rate Bookings. See above.

Extra Charges
Children 12 and under stay free using existing bedding, however for occupants 13 years of age and up, a $45 extra person fee will be charged up to total maximum occupancy of the confirmed room.

Gift Voucher Terms and Conditions
Full payment is required in advance at the time of purchase. Credit card will be charged immediately for total value of the Gift Voucher.
Gift Vouchers are non-refundable and cannot be exchanged with cash.
Gift Vouchers must be used by the expiry date specified on the voucher. It is the responsibility of the buyer to check that the time frame of the Gift Voucher suits their requirements.
Lost Gift Vouchers are not replaceable nor refundable.
Gift Vouchers will be sent by post (or email if required) to the recipient as soon as payment is confirmed.
Bookings using a Gift Voucher are essential and are subject to availability.
Gift Vouchers must be presented at the time of usage.
Gift Vouchers cannot be used in conjunction with any other offer or concession.
Gift Vouchers can be used for part payment.
Accommodation Vouchers cannot be used over special event periods.
Bookings using Accommodation Gift Vouchers must be made at least 7 days in advance.

Other
Requests for non-smoking rooms or specific bedding are honoured whenever possible based on availability at check-in. Due to inventory limitations, these requests cannot be guaranteed. Rates, restrictions, and information are subject to change without notice. Not all restrictions are listed. All offers are subject to program availability. Rates are listed in NZ dollars except where otherwise noted. All published rates are commissionable to travel agents at 10%.

Reservations Status
Once your reservation has been confirmed, any applicable cancellation or no-show fees will be charged to your company/agency/credit card.

We reserve the right to cancel or amend your booking in the event of a computer, website or system error which results in the display or communication of an incorrect room rate or other incorrect details relating to your booking. We will advise you as soon as possible in the event of such an error.

Taxes and Fees
Room rates are subject to 15% Goods & Services Tax. Settlement of your account by credit card will incur a transaction fee reflecting bank charges incurred by The Spencer on Byron Hotel for card payments. Current fees are 2% of the transaction total. Fees are subject to change and applicable fees will be confirmed on check-in. Payments by Cash or EFTPOS do not incur any transaction fees.
If the terms and conditions of your rate plan indicate prepayment is required when booking, the credit card transaction fee will be waived for the accommodation components booked online. Charges for additional items at the hotel during your stay will attract a transaction fee if payment is settled via credit card.
